How to Add and Manage Projects


Projects are where your work and billing live.

Create a project for each job so you can track progress, send invoices, and get paid


When to Create a Project

Create a project when:

  • You start a new job or contract
  • You need to track work and billing
  • You’re ready to send estimates or invoices

Step-by-Step

1. Click Add Project

  • Go to Projects
  • Click Add Project

2. Enter Project Name

  • Use a clear job name

    Example: Water Distribution Facility Upgrade

Keep it simple so you can find it later.


3. Set Start Date

  • Select when the job begins
  • The default is today (you can change it)

4. Choose Category (Project Status)

Select the current status of the job from the dropdown:

  • Pre-Contract → Not approved yet
  • Active → Work is in progress
  • Waiting on GC/Owner → Paused or waiting
  • Closed → Job is complete

You can also click Manage to create your own custom project statuses that match how you track your jobs.


5. Select Customer

  • Choose the customer this project is for
  • If needed, click Add Customer

Every project must be tied to a customer.


6. Add Contact and Address (Optional)

  • Select a contact for the project
  • Add or confirm the project address

If the contact or address hasn’t been added yet, you can create them directly from this screen.

This ensures invoices, communication, and job details are tied to the right person and location.


7. Save

  • Click Add Project

Your project is now ready.


What Happens Next

Once your project is created, you can:

  • Create estimates
  • Build billing plans
  • Send invoices
  • Track payments and progress

  • Use clear, consistent project names
  • Keep your project status up to date
  • Always attach the correct customer
  • Add a billing contact to ensure invoices go to the right person
